Use Case Example: SMS Lead Flow Scheduling for Call Centres
This example demonstrates how to configure an automated SMS marketing campaign that generates leads for a call centre operating within specific hours.
🕒 Call Centre Schedule
Day | Hours | Notes |
|---|---|---|
Monday–Thursday | 8am – 5pm | Full day operations |
Friday | 8am – 12pm | Half day – fewer leads |
Saturday & Sunday | Closed | No sends |
Special condition:
On Mondays, the campaign should start at 12pm to allow the call centre to first handle weekend leads.
Step 1: Set Up a New Campaign
Name your campaign – choose something descriptive, e.g. Weekly Lead Flow – Call Centre.
Add your targeting – select the tags or segments to reach your ideal audience.
Add your copy – write the message that will be sent to your contacts.
Step 2: Set Up Your Webhooks
Webhooks ensure your opt-in leads are posted automatically to your call centre system.
➡️ See: Webhook Setup Guide
Step 3: Configure the Campaign Schedule
Navigate to Campaign → Automation and create your first Recurring Send.
Example Setup:
Monday
Frequency: Weekly
Hour: 12
Day of Week: Monday
Result:
Your campaign will begin sending SMS messages to up to 10,000 contacts every Monday at 12pm.
🟢 Tip:
To add another send (e.g. at 3pm), click “+”, repeat the setup, and set Hour: 15.
Repeat the same setup for Tuesday, Wednesday, and Thursday, using times that align with your call centre’s workflow, or enable Random Time for natural delivery variation.
Friday Scheduling
To reduce Friday volume, decrease your Max Distribution by 50%.
Example: from 10,000 to 5,000.
No sends are scheduled for Saturday or Sunday.
✅ Result:
Your campaign now runs automatically, sending the right number of leads at the right times to match call centre capacity — improving efficiency and conversion rates.
Would you like me to extend this with collapsible sections for each step (so users can expand “Step 1”, “Step 2”, etc. inside Outline)? It makes the doc cleaner for non-technical users.
